2. What personal information do we collect?

Depending on the opportunity, information collected includes your full name, SA ID / birth date, contact details, address, province, equity/SETA demographics, education, qualifications, references, learnership history, disability info (where applicable for funding/support), and verification records. Banking and tax details are requested only once required for contracting and stipends.

3. Why do we collect your information?

To assess qualification suitability, verify documents, shortlist for sponsoring clients/hosts, register with SETAs/QCTO, manage assessments and certification, and comply with B-BBEE, audit, and legal mandates.

4. Document Verification & Background Screening

Information and documents submitted to Edu Wize may be verified through authorised verification providers, including MIE. False, altered, or fraudulent submissions will result in immediate disqualification and possible blacklisting.

5. Disability and Other Sensitive Information

Demographic or disability details are collected only when required for funding, SETA, employment equity, or reasonable accommodations, and restricted strictly to authorised personnel.

6. Where is your information stored?

Our primary data is stored on a secure Edu Wize server located at our office in Johannesburg. We also use authorised systems including Revil / Revilson for applicant and learner processing, Google Drive, IronTree for backups, and Sage One for payroll.

7. Who may we share your information with?

Only where necessary and lawful: learnership sponsors, host employers, SETAs, QCTO/AQPs, verification providers (MIE), assessors, and accredited compliance bodies.

8. Unsuccessful Applications & Future Opportunities (Optional)

If you are unsuccessful in your initial application, you may choose to allow Edu Wize to retain your application in our recruitment pool for up to 24 months for suitable future opportunities. You may withdraw this consent at any time.

9. How long do we keep personal information?

Recruitment pool applications are kept for up to 24 months. Successful learners' records are retained in compliance with SETA, QCTO, tax, and accreditation audit timelines.

10. Your Applicant Account

You can use your secure account to view application status, upload documents, check consent history, or submit correction requests.

11. Your Rights

Under POPIA, you have the right to request access to, correction of, or deletion of your personal information, or lodge an objection with our Information Officer.

12. Security & Safeguards

Edu Wize maintains technical safeguards including role-based access, firewalls, secure encryption, and monitored backups.

13. Security Incidents

If Edu Wize becomes aware of a security compromise involving personal information, we will investigate and take reasonable steps to contain and remedy the incident.

15. Changes to Notice

Edu Wize may update this Privacy Notice when our systems, processes, or legal requirements change.
